Equality, Diversity & Inclusion Guidelines
for Exhibitors and Staff
We are committed to creating events and fairs that create a welcoming and respectful environment for all communities. We celebrate and embrace people in love in all their glorious diversity. By putting equality, diversity and inclusion at the heart of our events, we not only enhance the attendee experience, but also play an active part in shaping a more inclusive and unprejudiced society.
To achieve this goal we only work with exhibitors, suppliers and affiliates to who share our inclusive ethos. To work with us, you are required to read these guidelines and agree to:
- Treat every attendee, exhibitor, staff member or volunteer with kindness and respect.
- Take care to ensure that titles, names and pronouns are respected where given.
- Ensure that your stand is fully accessible to wheelchair users and those with physical disabilities.
- Handle sensitive situations with empathy and professionalism.
- Immediately report any discrimination, harassment or offensive behaviour to security, or a member of the Owlets Events & Occasions team.
We have a zero-tolerance policy for discrimination, harassment or offensive behaviour. Anyone demonstrating any of these behaviours will be asked to leave immediately and will not be welcomed at future events. No refunds will be given.
Sensory Hour
At all of our events, there will be a ‘sensory hour’ to allow those with neurodivergent challenges and other sensory issues to attend and browse in a comfortable and uncrowded environment.
During sensory hour, we will:
- Turn off music and background noises
- Dim the lights in the hall
- Limit tickets available during this hour to reduce crowds and crowd noise
Exhibitors will be required to:
- Turn off bright, neon or flashing lights
- Turn off music or background noises
- Wait to be approached by a customer before engaging
- Agree and adhere to these guidelines
How Can You Improve Equality, Diversity and Inclusion In Your Own Business?
As part of our inclusive ethos, we strongly encourage you to think about how you can make your own business more inclusive too. You could consider:
- Choosing to use language that includes inclusive pronouns and promote gender neutral language, while also being mindful of cultural sensitivities. Where possible, you could provide information in different languages or alternative formats.
- Using inclusive and diverse images on your website, social media and marketing campaigns to represent all cultures and communities.
- Ensuring accessibility and taking measures to support those with additional needs, including those with visible and invisible disabilities and disorders.
- Creating a diverse team comprised of individuals from contrasting backgrounds, ethnicities, abilities, genders, sexualities, religions and beliefs.
- Encouraging your own affiliates and suppliers towards greater diversity and inclusion.
- Attending courses and undertaking training to fully understand the practical steps needed for true inclusion.
- Training your staff to understand the importance of diversity and inclusion.
- Championing diversity within your industry by taking action to address any under-representation.
- Striving to constantly improve your own knowledge through learning, unlearning and taking action to understand what it means to be a truly inclusive and diverse business.
- Introducing your own equality, diversity and inclusivity policy and including a statement on your website.
